A PRACTICAL BUYER’S GUIDE

How to choose laundry software in Sri Lanka

The right laundry management system should make your real counter work easier: recording garments, finding orders, collecting payments and returning the correct items. Start with your daily workflow, then compare software against it. This checklist helps you evaluate Cimpos or another system without choosing on a feature list alone.

1. Test a complete order

Write down how a customer moves through your laundry: drop-off, item inspection, service selection, billing, processing, packing and collection. In a demo, enter a mixed order with several garments and services. Find it again by customer name and invoice number, change its status, and check what the counter staff can see.

Include less convenient situations: a held draft, a changed quantity and a customer who collects only some eligible items. Ask which conditions apply to partial delivery instead of assuming every unit can be split. Confirm that delivered and remaining quantities stay understandable after reopening the order.

2. Check billing and balances

Use a sample order with a discount, other charges and an advance payment. Compare the invoice total, amount paid and remaining balance yourself. Check how the next payment is recorded and whether the sales and payment reports explain the same transaction consistently.

For Sri Lankan operations, review LKR pricing and the receipt format with your own business details. If companies have agreed rates, test those separately from walk-in customer prices. Confirm what cancelling an invoice does to its payment records; cancellation and a refund should never be assumed to mean the same thing.

3. Keep garments identifiable

Try the item names and units your staff actually use, including pieces, pairs, sets and weight-based services where supported. Check whether service, quantity, packing and location details are easy to read during a busy shift. A garment photograph or condition note can provide a useful reference when accepted at intake.

Ask how garment tags and receipts connect to the order, how staff find an item waiting for collection, and what happens when an order is overdue. For photos, confirm storage and retention conditions rather than expecting permanent storage. See the Cimpos features and plan availability for the current tools.

4. Match access to your team

List who takes orders, handles payments, reviews reports and manages settings. Ask to see a staff account with limited permissions, not only the owner account. Verify that a person cannot open sensitive reports or change records simply because a menu link is available.

If you have collecting points or processing centres, walk through an order moving between locations. Check which branch each invoice and report refers to. In Cimpos, multi-location operation requires the corresponding multi-location plan; pickup and delivery, loyalty and other advanced tools also follow their stated plan requirements.

5. Use your actual equipment

Test a realistic screen size, keyboard and printer before replacing your existing workflow. Cimpos is an English-language cloud system accessed through a current browser and requires an internet connection. A reliable connection matters at the counter, so decide how your staff will handle an interruption.

A compatible 80 mm receipt printer is optional. Confirm browser printing, paper width and receipt readability with support before buying hardware. Also check that your staff can comfortably read item names and complete forms on their intended devices. The system requirements explain the starting equipment.

6. Compare the complete cost

Separate the recurring subscription from setup, additional locations, SMS and any hardware you need. Ask what is included in onboarding and ongoing support. A lower headline monthly amount may not represent your complete first-year cost, so compare the same number of locations and the same billing period.

Use the current Cimpos pricing and setup details rather than an old quotation or screenshot. Cimpos subscription periods use 30 days per month and 360 days for 12 months. Confirm your activation and renewal dates, selected package and payment arrangements with support before subscribing.

7. Review messages and support

Ask which customer messages are automatic, which require an operator action, and how consent or sending preferences are handled. Test with sample details and a safe demonstration process. SMS availability depends on configuration, supported destinations, permissions and provider charges or credits; do not assume every country is covered.

Agree on the support contact, setup process and escalation route for a blocked counter. Ask about available exports, backups and recovery arrangements. Get clear answers about your records and access if you later change providers, rather than relying on broad claims about security or ownership.

8. Decide with a short checklist

Keep your comparison practical: can staff complete a normal order, explain its balance, find the garments and finish collection without workarounds? Record any missing requirement and ask whether it is available now or only planned. A promised feature should not be counted as a working feature.

Explore Cimpos using sample data before making your choice. The customer demo is for evaluation; Cimpos does not offer a free trial. After reviewing the workflow and package, contact support to arrange a paid subscription and account activation.
